1. Who we are
Infiniti Properties Management Ltd (“Infiniti”, “we”) decides how your personal information is used on this website and in running our letting and property management business. In data protection terms, we are the controller.

2. What we collect
- Your name, email address, phone number and postal address.
- Anything you send us through the forms on this site, such as an enquiry, a valuation request or a rental application.
- Landlords: property and ownership details, your landlord registration number, the bank account we pay your rent into, and tax details where the law needs them. We only ever take bank details over the phone, never by email or online form.
- Tenants and applicants: details from your application and referencing, such as employment, income, previous addresses and guarantor details, plus records of your tenancy, rent and deposit.
- Repair reports, photos and messages about a property.
- How people use this website, through Google Analytics. Our Cookies Policy explains this.
Sometimes we get your details from someone else. That might be a comparison website where you asked to hear from letting agents, a landlord who passes on a tenant’s details, or a referencing agency.
3. How we use it, and why we’re allowed to

4. Who we share it with
We never sell your information. We share it only when we need to, with:
- tradespeople and contractors carrying out work at a property
- the landlord or tenant of the same property, where it’s needed to run the tenancy
- tenant referencing agencies and guarantors
- approved tenancy deposit schemes
- utility companies and the council when tenants move in or out
- HMRC, the police, courts, the First-tier Tribunal for Scotland or other bodies when the law requires it
- our accountants, solicitors and insurers
- companies that run systems for us and act only on our instructions: Jupix (property management software), Microsoft 365 (email and files), our website host, Google Analytics and Make (automated emails)
5. Information sent outside the UK
Some of these companies store or reach data outside the UK, for example Google and Microsoft in the USA. When that happens, it’s covered by UK adequacy regulations, which include the UK–US data bridge, or by the ICO’s approved contract terms.
6. How long we keep it
- Landlord and tenancy records: 6 years after our agreement or the tenancy ends, for tax and legal reasons.
- Enquiries and valuation requests that go no further: 2 years.
- Tenant applications that don’t go ahead: 6 months.
- Website statistics in Google Analytics: 14 months.
After that, we delete it or make it anonymous.
7. Keeping it safe
Only the staff who need your information can see it, and our systems are password protected. We will never ask for bank details by email. If an email claiming to be from us does, call us on 0141 553 2677 before you do anything.
8. Your rights
You can ask us to:
- give you a copy of the information we hold about you
- correct anything that’s wrong
- delete it, where we no longer have a reason to keep it
- limit how we use it, or stop using it
- stop sending you marketing, at any time
- send your information to you or someone else in a format a computer can read

If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
